Automating a recurring payroll document workflow

A SharePoint-triggered cloud pipeline that automated substantial parts of handling, renaming and transferring payroll documents.

Selected experience from a project delivered before Process Wranglers was founded. The organisation is not named and was not a Process Wranglers client.

The process, marked up

Before

  1. ZIP archive of payslips arrives
  2. Extract the archive by hand (pain point)
  3. Parse each PDF (pain point)
  4. Rename each file (pain point)
  5. Transform and pass on (pain point)

After

  1. Archive placed in SharePoint
  2. Pipeline extracts, parses, renames and transforms (part of the solution)
  3. Secure onward transfer (part of the solution)
  4. Exceptions surfaced to a person (a person stays in control)

What was happening

A recurring payroll workflow involved ZIP archives of PDF payslips that had to be extracted, parsed, renamed, transformed and passed on.

Done by hand, it was repetitive, detailed work with sensitive documents.

What needed to change

A consistent, auditable way to process each payroll run with less manual handling.

What was done

Mike was involved in designing and building the processing pipeline and its trigger.

Why that approach

Starting from the existing SharePoint environment meant the people involved kept a familiar way to begin each run.

The outcome

Substantial parts of a repetitive, detail-heavy process automated.

A consistent sequence of steps for each payroll run.
